Protecting personal data is an extremely significant issue for JMA Management Center Inc. (hereinafter “JMAM”).
JMAM processes the personal data of customers (including applicants who wish to be employed by JMAM; hereinafter, “applicants”)to whom the EU/Member State data protection regulations apply, in particular the General Data Protection Regulation (2016/679) (hereinafter “GDPR”) (hereinafter “customers”), in accordance with such regulations. This policy explains how we, as a data controller, process the personal data of customers. The personal data subject to this policy is limited to data that is protected by the GDPR.

1. The kind of personal data that JMAM collects from customers and the legal basis of processing such personal data

    For the purposes specified in this policy, JMAM may collect the following personal data:

    2. Address (home/company)
    3. Telephone number (personal/professional)
    4. Fax number (personal/professional)
    5. E-mail Address (personal/professional)
    6. Company Name
    7. Department and title
    8. Gender
    9. Historical transactions with JMAM
    10. Bank account information/Credit card information
    11. Recruitment information (CV, date of birth, work experience, etc.)
    12. Other information voluntarily provided by customers

  • Legal basis for the processing of personal data
    JMAM will at all times process the personal data of customers in accordance with a legal basis set forth in the GDPR (Articles 6 and 7 of GDPR).
    JMAM may, in pursuit of legitimate interests, collect and process personal data needed in order to carry out its business and provide customers with the appropriate products and services for the purposes listed below.

    【All Customers】
    • To provide and improve JMAM’s products and services;
    • To develop JMAM’s new products and services;
    • To provide our responses to your questions, feedback or inquiry;
    • To send out our surveys such as customer satisfaction surveys on our products and services;
    • To deliver announcements on our new products and services;
    • To facilitate necessary communications regarding negotiations, sales and operations of JMAM’s businesses; and
    • When it is necessary to use the information in a way similar to the above purposes.

    We may record your call in order to accurately understand your request or demand and improve our services. As soon as there is no longer a need to use the recorded personal information, we will promptly delete it.

    【Customers who have applied for JMAM courses or Distance Learning or bought Business planners and the publications】
    • To confirm the contents of the application and deliver the course materials;
    • To disclose the enrollment status of Distance Learning or E-Learning and the content of the reports or workbooks to the person in charge of the customer’s companies or other organizations; and
    • To confirm the order of products such as business planners, diaries and publications and delver the products.

    【Applicants or registrants of Email newsletters】
     To confirm Email addresses and desired subject matters of Email newsletters.

    【Customers who have requested information materials】
     To confirm and deliver requested information materials.

    【Customers who have become members】
    • To manage membership system; and
    • To proceed with registrations, logins and withdrawals, etc.

    【Customer who visited JMAM office】
     To conduct filming and recording for crime prevention purposes using surveillance cameras.

    【Applicants】
     To determine whether to accept or reject applicants for employment, to notify the applicants of acceptance or rejection, and to perform recruitment management tasks.
  • 2. Storage period of personal Data

    JMAM will process and store personal data within the scope of the purpose of use. In the event that the processing or storage of personal data is no longer necessary, we will strive to immediately delete such data.

    3. Sharing and disclosure of personal data

    For the purposes listed in this policy, JMAM may share and disclose the personal data of customers with joint controllers or third party data processors in accordance with the GDPR. When sharing the personal data of customers with data processors, JMAM will establish an appropriate legal framework in accordance with the GDPR.
    In addition, in the event that the personal data of customers is shared with an entity (a recipient) located outside the EEA, actions will be taken to ensure an appropriate level of protection for such personal data.

    4. Rights of customers

    Customers have the following rights with respect to personal data collected and processed by JMAM.

    • Acquisition of personal data
      Customers have the right to obtain from JMAM all necessary information regarding JMAM's data processing activities relating to them.
    • Access to personal data
      Customers have the right to receive confirmation whether any personal data relating to the customer is processed or not from JMAM. If so, customers have the right to access their personal data and relevant information.
    • Rectification and erasure of personal data
      Customers have the right to obtain from JMAM, without undue delay, the rectification of inaccurate personal data concerning them and to complete any incomplete personal data. In addition, if certain requirements are met, customers have the right to obtain from JMAM the erasure of personal data concerning customers without undue delay.
    • Restriction on processing personal data
      Customers have the right to have JMAM restrict the processing of personal data if certain requirements are met.
    • Objection to the processing of personal data
      Customers have the right to object to the processing of personal data concerning them if certain requirements are met.
    • Data portability of personal data
      Customers have the right to receive personal data which they have provided to JMAM concerning them in a structured, commonly used and machine-readable format and have the right to transmit such data to another controller without hindrance from JMAM.
    • Not to be subject to a decision based solely on automated processing
      Customers have the right not to be subjected to decisions based solely on automated processing, including profiling, which produces legal effects concerning customers or similarly significantly affects customers.

    Customers may challenge the processing of personal data of customers by us to the data protection supervisory of the Member State in which the residence, or workplace of the customers or the location of the violation of the GDPR has occurred.

    5. SSL, Cookie, CSS and Google Analytics

    • SSL
      Our website (the “JMAM site”) employs the SSL (Secure Sockets Layer) encryption technology, which enables customers to register personal data of customers in a secure environment. This encrypts the communications between the customer's device and the JMAM site's server and thereby prevents any data sniffing.
    • Cookie
      Cookies are small text files of data transferred from our web server and stored on computer, smartphone, etc. of customers. We limit the use of this technology to the purpose of providing uninterrupted services from us. When customers visit the JMAM site Cookies collect data about visits and activities of customers.

    • CSS
      The security on the JMAM site prevents cross-site scripting (CSS, also abbreviated as XSS), which transfers any personal data to other websites with a malicious intent.
      With our security measures on our website, we provide you with a safe and secure environment, where no cookies information is stolen or no JMAM site is tampered with.
    • Google Analytics
      The JMAM site uses Google Analytics to collect and analyze access logs in order to ascertain facts regarding usage of our website.
      Google Analytics uses Cookies to collect logs without including personally identifiable data.
      The collected logs are managed based on Google's privacy policy.

    6. Changes to this policy

    JMAM may change this policy from time to time. In the event of any substantial or material change, JMAM will notify the customers through the JMAM site or by e-mail if necessary.
