JMA Management Center Inc. (hereinafter, "JMAM") recognizes the importance of personal information, and it ensures that such private information is protected in accordance with the privacy policy herein.
To serve you in an efficient manner, we may, from time to time, collect and use your personal information such as your name, address, telephone number, and email address.

JMAM considers it critically important to protect your personal information appropriately, and to fulfill our responsibility in this regard, we uphold the following policy in handling such personal information:

  1. (1) The scope of personal information we obtain shall be limited to what is required for our business activities, and only such relevant information shall be collected, used, or provided to relevant parties. We will not handle, in principle, any personal information that is beyond the scope of the objectives of using such information without the consent of the owner of the information. We will also apply measures to ensure our compliance.
  2. (2) We shall be compliant with any ordinances, policies and any other laws and regulations established by the government to protect personal information.
  3. (3) We safeguard personal information maintained at JMAM through reasonable security measures against unauthorized access as well as loss, destruction, falsification, or leakage. If any incident occurs despite our precautions, we shall promptly take a corrective action.
  4. (4) We shall establish a point of contact for, and deal with, complains and inquiries on the handling of personal information.
  5. (5) We shall periodically review our measures for the protection of personal information and shall work for improvements on an ongoing basis.

In addition, JMAM may be entrusted with the handling of personal information. In such case, JMAM shall handle the personal information appropriately within the scope of the entrusted service.

1. Purposes of Using Personal Information

JMAM obtains personal information required for the operation of our business from time to time. The information will be used for the purposes described below:
Please note that some of the purposes for use of personal information listed below apply to all customers, while others only apply to certain customers.

【All Customers】
(1) To provide and improve JMAM’s products and services;
(2) To develop JMAM’s new products and services;
(3) To provide our responses to your questions, comments and inquiries;
(4) To send out our surveys such as customer satisfaction surveys on our products and services;
(5) To deliver announcements on our new products and services;
(6) To facilitate necessary communications regarding negotiations, sales and operations of JMAM’s businesses; and
(7) When it is necessary to use the information in a way similar to the above purposes.

【Customers who have applied for JMAM courses or Distance Learning or bought Business planners and the publications】
(1) To confirm the contents of the applications and deliver the course materials;
(2) To disclose the enrollment status and content of reports or workbooks concerning Distance Learning or E-Learning to the persons in charge of the customer’s companies or other organizations; and
(3) To confirm the order of products such as business planners, diaries and publications and delver the products.

【Applicants or registrants of Email newsletters】
To confirm Email addresses and desired subject matters of Email newsletters.

【Customers who have requested information materials】
To confirm and deliver the requested information materials.

【Customers who have become members】
(1) To manage membership systems; and
(2) To proceed with registrations, logins, and withdrawals, etc.

【Customers who have visited the JMAM office】
To conduct filming and recording for crime prevention purposes using surveillance cameras.

2. Prohibition of the Use of Personal Information for Any Other Purposes

We will not use the personal information obtained from you for purposes other than the above purposes. We will not disclose or provide such personal information to any third parties without your consent, unless one of the following conditions applies:

  1. (1) If we have your consent;
  2. (2) If the anonymity of the individuals is guaranteed e.g. statistical data ;
  3. (3) If we are requested or authorized to disclose or provide the personal information for the regulatory compliance;
  4. (4) If it is required for the protection of a person's life, well-being, or property, and if it is difficult to obtain a consent from you;
  5. (5) If we are required to cooperate with the public offices such as the national or the local public agencies, court, police department, etc., for their execution of public work, and if receiving your consent would interfere with the accomplishment of such work;
  6. (6) If it is particularly necessary for the improvement of public health or the promotion of children’s healthy development and it is difficult to obtain your consent; and
  7. (7) If the information is provided to a subcontractor for the purpose set forth in "4. Consigning the Work to Process Personal Information."

3. Consigning the Work to Process Personal Information

In some cases, we consign the work to process the personal information data to a third party. We make sure to select a third party with an uncompromising level of the personal information protection capability, as well as signing a memorandum of understanding for the personal information protection with them and maintain our control and supervision on them as necessary.

4. Measures for Security Management of Personal Information

Your personal information is safeguarded through our intelligent security measures.

  1. (1) Organizational security control measures
    We have designated a person to be in charge of the handling of retained personal information and clarified the scope of the retained personal information to be handled by such person. We have also established a system to contact and report to the person in charge in the event that any violation of the law or handling regulations is detected.
    In addition, we conduct periodic self-inspections and annual internal audits on the status of the handling of the retained personal information.
  2. (2) Personnel security control measures
    We provide employees with periodic training on matters to be considered in handling retained personal information.
    In addition, confidentiality is stipulated in the rules of employment, and employees are required to sign a written pledge when joining or leaving JMAM.
  3. (3) Physical security control measures
    In the security area, we manage the entry and exit of employees and conduct surveillance on the entry and exit of the security zone as necessary using surveillance cameras, etc.
    Encryption is used for equipment that handles personal data.
  4. (4) Technical security control measures
    Access control is implemented to limit the scope of personal information databases, etc. to which employees have access.
    In addition, a system is in place to protect information systems that handle personal information from unauthorized access from outside and from unauthorized software.

5. SSL, Cookies and CSS

(1) SSL
Our website (the "JMAM site”) employs the SSL (Secure Sockets Layer) encryption technology, which enables you to register your personal information in a secure environment. This encrypts communications between the customer's device and the JMAM site's server and thereby prevents any data sniffing.

(2) Cookies
Cookies are small text files of data transferred from our web server and stored on your computer. We limit the use of this technology to the purpose of providing uninterrupted services from us. (3) CSS
The security on the JMAM site prevents cross-site scripting (CSS, also abbreviated as XSS), which transfers any personal information to other websites with a malicious intent.
With our security measures on our website, we provide you with a safe and secure environment, where no cookie information is stolen or no JMAM site is tampered with.

(4) Google Analytics
The JMAM site uses Google Analytics to collect and analyze access logs in order to ascertain facts regarding usage of the website.
Google Analytics uses Cookies to collect logs without including personally identifiable data.
The collected logs are managed based on Google's privacy policy.

6. Inquiries regarding Your Personal Information

(1) Notification of the Purposes for Use
If you want to be notified on the purposes for the use of your own personal information maintained at JMAM, we will provide you with our response, to the extent we can, within a reasonable period after we confirm the identity of the person who makes such a request.

(2) Disclosure
If you want your own personal information maintained at JMAM to be disclosed to you, we will provide you with our response, to the extent we can, within a reasonable period after we confirm the identity of the person who makes such a request.

(3) Revision, Addition or Deletion
If you want to revise, add or delete any or all of your own personal information maintained at JMAM, we will revise, add or delete the information, to the extent we can, if we find out that there is any part of the information that is different from the fact within a reasonable period after we confirm the identity of the person who makes such a request.

(4) Termination of Use or Erasing
If you want to terminate the use of, or erase, your own personal information maintained at JMAM, we will terminate the use, or erase, your data, to the extent we can, within a reasonable period after we confirm the identity of the person who makes such a request.
Please be aware that if we terminate the use, or erase, some or all of your personal information, we may no longer be able to provide you with the services you desire. (Please also note that we may not be able to meet your request for terminating the use of or erasing your personal information if such information has been maintained by us to be compliant with the governing laws and regulations.)
